Personal Details
It is important that the personal details held on your student record are accurate. Many of these details can be updated directly on the student SOLE page, or via the Student Services department.
Updating your Contact Details
If you have changed your address, telephone number or email address, you can update your record on your SOLE page. Under the ‘personal details’ section of your SOLE page you will see the option ‘my address details’. In this section you can edit your term time address, home address, telephone number and personal email address. After you have saved any edits, your student record will be instantly updated.
Known As Name
The university will print all official documents in your official legal name. For your student ID card and class registers, students can provide a ‘known as’ name that can be different from their legal name. The known as name can be provided without any official documentation. You will have been asked to provide this when registering as a student at the university, but you can update this at any time via the ‘personal details’ section of your SOLE page. Please note, when adding your known as name you do not need to include your surname.

Changing your Official Name
The university will print all official documents, graduation certificates etc. in your official legal name. If your official name has changed, you will need to show proof of the name change, like a deed poll certificate, marriage certificate, or other recognised official document. You can do this at firstpoint or email a clear copy to Student Records direct on studentrecords@worc.ac.uk. Once your official name has been changed in the central Student Record, firstpoint can issue a new ID card free of charge. A request to change your official legal name needs to be submitted before the final Exam Board if it is to be reflected on your degree certificate. Exam Board dates vary so please contact Student Records via email at studentrecords@worc.ac.uk or phone on 01905 85 5333 to check the Exam Board date for your course.
When your official (legal) name has been changed in the central Student Record, your details should automatically update across SOLE and your connected learning platforms, such as Blackboard and Pebblepad.
You can contact the IT team and ask them to make changes to the displayed name on your email address which will have been assigned in your original name. You just need to log a job via the IT helpdesk portal and they will make the changes for you.
Please note that your username and email address will remain the same unless you specifically request that these are changed. You do need to be aware that your digital profile is linked to your unique username and, if this is changed, it is possible that access to anything already created in the learning platforms (known as your digital footprint) will be lost. It is recommended that you seek further guidance from the IT department before requesting any changes to your unique username or University email address.
If you have changed your official name, don’t forget to also update other organisations such as the bank, Student Finance and GP.
Transgender Students
During your time as a student at the University of Worcester we expect that you will explore many different aspects of your life and this might include your gender identity.
If you would like your known as name to be reflected on your learning platforms such Blackboard and Pebblepad, you can make a request via the ICT helpdesk portal, or if you prefer, you can contact firstpoint or Student Support and Wellbeing for assistance in making the request. If you are a student attending placements in a health care setting, we would recommend that you contact either your Course Leader, or your Personal Academic Tutor, for advice on how details will be communicated to the placement provider.

Students should be aware that University staff accessing your student record will be able to see your official name, as well as your known as name, if these are different.
