Calculating Annual Leave Entitlement
Calculating Annual Leave Entitlement
The Annual Leave entitlement for an employee will be stated in the contract of employment.
Annual Leave entitlement is based on the type of contract issued, and the salary band of the contract as follows:
Contract Type | First 5 years' of continuous service | After 5 years' continuous service |
Professional Services |
||
Bands 1 to 5 (to pt 19) | 21 days | 26 days |
Band 5 (from pt 20) to Band 6 (to pt 27) |
23 days | 28 days |
Band 6 (pt 28 onwards) and up to and including Band 7 |
25 days | 30 days |
Band 8 and Band 9 | 31 days | 31 days |
Where an employee moves into the contribution points for the salary band for their job the leave entitlement continues to be the entitlement that relates to the salary band for the job.
Where an employee reaches 5 years' continuous service during the holiday year, they will be entitled to the increase in their Annual Leave Entitlement on a pro-rata basis for the rest of that holiday year.
Example: An employee reaches 5 years' service in Band 3 on 1st February. There are 6 months remaining in the year, and so the employee will be entitled to an additional 2.5 days Annual Leave in that year, and then an additional 5 days' leave from the start of the next holiday year.
Contract Type | Annual Leave Entitlement* |
Standard Academic Contract (AC1-AC4) | 36 days |
Teaching Focused Contract (AC1-AC4) | 36 days |
Senior Staff, e.g. Professors, Directors, Heads of School | 31 days |
*Not increased when service exceeds 5 years*
In addition to the leave above, full-time employees are entitled to 8 days' paid Bank Holidays per year, and 3 days' paid University closure days. Part-time employees will receive a pro-rated annual leave entitlement (see below).
Changes from Summer/Autumn 2024
The University has now launched a new HR/Payroll system called iTrent. iTrent manages all leave entitlement in hours rather than days. The University already quoted and managed leave entitlement for part-time staff in hours and this is now also the case for full-time staff. Feedback suggested that it is confusing to manage two different systems for managing annual leave, i.e. full-time colleagues in days and part-time colleagues in hours.
Q. How do I convert my full-time annual leave entitlement into hours?
A. To convert a full-time annual leave entitlement from days to hours, multiply your contracted days of leave by 7.4 hours per day. So, 25 days x 7.4 hours = an annual leave entitlement of 185 hours.
